How much does event coordination cost in Dubai?

Day-of coordination for a small event typically costs AED 5,000 to 15,000. Partial planning for a mid-size event runs AED 15,000 to 45,000. Full planning for a large gala or launch is usually priced as a flat fee from AED 60,000 or as 10 to 20 percent of total event spend. Exact figures vary by venue, guest count and season, so confirm the fee structure in writing before booking.

What is included in event coordination services?

Event coordination generally includes vendor sourcing and management, contract and deposit tracking, building a timed run-of-show, permit coordination, and on-site supervision during the event itself. It does not usually include creative design or branding work, which is typically quoted separately. The exact scope depends on whether you book day-of coordination, partial planning, or full planning.

Do I need a permit to organise an event in Dubai?

Public events, ticketed events, and events with live entertainment outside a licensed hotel venue generally require approval from the relevant Dubai tourism or events authority, in addition to any venue-specific permissions. Requirements change periodically and depend on event type and location, so confirm current requirements directly with the venue or your coordinator rather than assuming last year's process still applies.

How far in advance should I book an event coordinator in Dubai?

For a small private event, 4 to 8 weeks is usually enough for day-of coordination. A mid-size corporate event with entertainment needs 2 to 4 months. A large gala, launch or wedding with full planning benefits from 4 to 9 months lead time, with extra weeks added if the event needs a specific permit type.

What is the difference between an event planner and an event coordinator?

An event planner is typically involved from the concept stage, handling budget, design direction and vendor selection from the start. A coordinator is more often brought in to execute an existing plan, managing vendors, timelines and on-site logistics without necessarily shaping the creative concept. Many Dubai agencies offer both under one roof, labelled by tier rather than by title.

Can an event coordinator also arrange entertainment?

Yes, most full-service coordination packages in Dubai include sourcing and booking entertainment as part of the vendor management scope. It is worth confirming the act's availability and technical requirements early, since entertainment bookings have their own lead times and riders that need to align with the venue's permit and load-in schedule.

Is event coordination in Abu Dhabi different from Dubai?

Yes. Abu Dhabi has its own cultural and tourism authority with a separate permit and approval process, and a permit or approval granted in Dubai does not transfer to Abu Dhabi. Venue restrictions, preferred supplier lists and processing timelines also differ by emirate, so confirm requirements with the specific authority covering your event location.
